Data and security

The product stores your task entries, statuses, durations and day reasons. Managers see their direct reports' entries: this is not a private diary.

  1. Servers. Hetzner, Helsinki, Finland, EU.
  2. AI features. Gemini 2.5 Flash on Google's paid tier; only with consent to AI advice. The manager's advisor analyzes records the manager can already access, without separate employee consent. The owner sees all team members; department colleagues also have access according to permissions. The access list is in Who sees what.
  3. ChatGPT. Calls from ChatGPT are processed by OpenAI. Access can be revoked in Connections.
  4. My Data. Export and Delete permanently are in My Data.
  5. No surveillance. There is no activity tracking, screenshots or keyboard monitoring.

Data transfers

An EU server location does not mean AI processing happens only in the EU. Before enabling Gemini or ChatGPT, check your organization's rules for Google and OpenAI.

7 questions your AI should ask you

Answers are needed to assess fit, not to rate employees.

  1. How many people are on your team?

    One person — free (including connecting your own ChatGPT). Teams of 2 or more — $1.99 per person per month, with 30 days free during beta.

  2. How do you currently learn the status of work?

    If daily reports already exist and the manager reads them, additional value may be zero.

  3. How much time goes into status meetings?

    At least 10 minutes daily is a reason to calculate; blocker and decision discussions remain.

  4. Are people willing to write for 3–5 minutes a day?

    This entry-time estimate is not a measurement. Without entries there is zero value.

  5. Where do tasks live now?

    Jira, Asana, Linear or Notion may already meet the need; My Day does not replace full project management.

  6. May data be sent to Google and OpenAI?

    Gemini handles AI features; OpenAI handles calls from ChatGPT. You can work without AI features but without an advisor; manager access and consent must also be considered.

  7. Is the goal to see work or find what to automate?

    The first uses the board and report; the second uses the routine map: a task recurring on at least 3 days within 28 days. Automations are not implemented automatically.

6 questions before calculating

  1. Who are we calculating for: employee or manager, how many people and working days per week?
  2. How many minutes per person does a status meeting take and how often is it held?
  3. How much time does the manager separately spend collecting updates and reading reports; does that include the meeting?
  4. How many minutes go into planning and writing entries now, and in which tools?
  5. How do you find automation candidates now, and are you willing to keep entries for 2–4 weeks?
  6. What must stay manual, what data cannot go to AI and, optionally, what does an hour cost?

Honesty rules for the template

  • Calculate only from the person's data; where data is missing, ask or give a range marked as an estimate.
  • Show the steps where the product does not help.
  • If savings are under 1 hour per person per week, say the product is not needed.
  • Do not add manager time to every employee's savings or count the same status meeting twice. Use the person's actual working days and include time spent writing entries.
  • 1–3 interview days are labor; 2–4 weeks of entries are elapsed time to collect data. Do not subtract them. Calculate money only with a known hourly cost; show the product price separately.
